The problem this kills

Right now your nonconformances live in email threads, a shared spreadsheet someone forgets to update, and a folder of phone photos nobody can find at audit time. A defective lot comes in, an inspector flags it, and then what? The disposition gets decided in a hallway conversation. The corrective action is "I'll talk to the supplier." Three months later an auditor asks for evidence and you're reconstructing the story from memory.

Quality issues that aren't documented can't be measured, can't drive supplier recovery, and can't survive an audit. You lose money on scrap and rework you never charged back, and you lose credibility when the same defect shows up again.

What you'll build

A small, private web app your quality team logs into. An inspector opens a new Nonconformance Report, records what failed, the quantity, the lot and supplier, and uploads photos straight from their phone. The tool classifies the defect and estimates the cost. Then nothing gets issued until a quality manager reviews and approves the disposition (use-as-is, rework, return, scrap) and the corrective-action plan. Once approved, an owner and due date are assigned, the supplier gets a clean email, and the NCR is tracked to closure - open, closed, or overdue - in a register you can export as CSV any time.

What's inside the Implementation Plan

The plan is a single file you paste into an AI coding assistant (Claude Code), and it builds the tool with you step by step - no coding background needed.

  • Step-by-step build prompts you copy and paste, each one explained in plain language.
  • The data model wired to your lots, POs, and suppliers for real traceability.
  • Photo upload to secure storage, defect classification, and cost capture.
  • A manager approval gate, owner/due-date assignment, and overdue tracking.
  • A supplier notification email and a CSV export of the full NCR register.
  • A "No API yet?" fallback so you can build this today from a sheet or form, even with zero integration to your existing system.

The governance it includes (this is the point)

This isn't a toy form. The plan builds in the controls a quality system actually needs:

  • Login so only your team can use the tool.
  • Row-level security so each organization only ever sees its own NCRs.
  • A complete audit trail - who logged, classified, approved, and closed each NCR, and when.
  • A hard human-in-the-loop approval gate - the AI drafts the disposition and CAPA, but a quality manager must review and approve before anything is issued to a supplier or closed.
  • Duplicate guards so the same NCR id can't be logged twice.
