The problem this kills

Training is happening everywhere — onboarding cohorts, safety refreshers, system rollouts, lunch-and-learns — but nobody can see it all in one place. Sign-ups live in three spreadsheets, an email thread, and someone's head. When a session is a week out, the coordinator hand-types reminder emails, forgets the prep instructions half the time, and then a third of the room shows up late, unprepared, or not at all. Reschedule a session and the chaos doubles: who got the old time, who needs the new one, who got told twice?

Low attendance and unprepared attendees aren't a people problem — they're a logistics problem. You don't need a giant LMS or a developer to fix it. You need one shared calendar and reminders that fire on time, every time.

What you'll build

A simple internal web tool. You load your scheduled sessions (with their registrants) and your reminder cadence and templates (a week out, a day out, an hour out — and the pre-work for each session). The tool renders a single shared calendar you can filter by team, location, and course type, and it shows you a clear preview of every reminder that's about to go out. The coordinator reviews and approves the cadence and any custom message or pre-work before a single email sends. From then on, the tool emails timely, time-zone-correct reminders with prep instructions via Resend — and when you reschedule, it cleanly re-notifies only the people affected instead of spamming everyone. There's a subscribe-able calendar feed so the whole team can see upcoming training in their own calendar app, and a CSV export of the full schedule plus a reminder log.

What's inside the Implementation Plan

The downloadable plan is a step-by-step file you paste into an AI coding agent. It opens by interviewing you about your business — how you run training today, where your sessions and sign-ups live, exactly what your columns are named, how teams/locations/course types are labeled, your time zones, your reminder timing, what counts as pre-work, and your messy reschedule and cancellation cases — and then it tailors the data model, the calendar filters, and every later step to your answers. This is not a generic template; the agent reads a short spec back to you and waits for your thumbs-up before it builds anything. From there it walks the agent through loading sessions and registrants, building the filterable calendar, scheduling the reminder cadence, the coordinator approve-before-send gate, the Resend sends, clean re-notification on reschedule, the calendar feed, and the CSV export — each step with a ready-to-copy prompt. There's also a fallback so you can build the whole thing today with just a Google Sheet, no integration required.

The governance it includes (this is the point)

This sends real email to real people, so it ships with the controls a coordinator needs: login so only your team can use it, row-level security so you only ever see your own organization's sessions and registrants, a complete audit trail of who approved which reminders and when, a hard human-approval gate so no reminder goes out until the coordinator signs off on the cadence and messaging (and bulk schedule changes are reviewed before re-notifying), and duplicate guards keyed on registrant + session + reminder stage so nobody ever gets the same nudge twice. Sensible cadence limits keep the tool from becoming the noise people learn to ignore.
