The problem this kills
You hold good coaching conversations. People nod, you both agree on a couple of next steps, and then... life happens. The action items live in your head, a sticky note, or buried in a Slack thread. Next session you can't quite remember what you agreed last time, so you start over. Coaching becomes a series of disconnected chats instead of a continuous thread that actually moves someone forward.
The frustrating part is that the fix isn't complicated - it's just consistent. You need one private place that remembers every session, every agreed action, who owns it, when it's due, and whether it actually got done. Until now, building that "one place" meant buying yet another HR platform or wrestling with a spreadsheet that nobody updates.
What you'll build
A private, login-protected web app - just for you and your coaching relationships - that does five things well:
- Logs each session with date, topic, and notes (kept private and locked down, because coaching notes are sensitive).
- Captures action items with a clear owner and a due date, right inside the session.
- Gets the coachee's acknowledgement so the action items become a shared commitment, not just your interpretation of the chat.
- Tracks actions across sessions - open items carry forward automatically, and overdue ones get surfaced so nothing quietly slips.
- Shows progress over time for each coachee, and exports everything to a clean CSV whenever you need it.
You'll build it by pasting one file into an AI coding agent and answering a few questions about how you coach. No prior coding needed.
What's inside the Implementation Plan
The plan is a complete, paste-and-go runbook. Here's what makes it different from a generic template: it opens by interviewing you about your business - how your coaching relationships are structured, what you actually capture in a session, how you name people and teams, your typical and peak volumes, and your real approval rules. The AI agent reads your answers back to you as a short spec, you give it a thumbs-up, and only then does it build. The result fits how you coach, not some made-up org chart.
Inside you'll find:
- A required discovery interview (8-12 tailored questions) so the data model matches your world.
- Step-by-step build instructions, each ending with a ready-to-copy prompt you paste into your agent.
- A privacy-first data model with row-level security so coaches only ever see their own relationships' notes.
- The full action-item lifecycle: draft, coachee acknowledgement, owner marks done, coach confirms.
- Overdue surfacing, carry-forward of open actions, and a per-coachee progress view.
- A "No API yet?" fallback so you can import an existing spreadsheet and export a clean CSV - fully usable today, even with zero integrations.
The governance it includes (this is the point)
This isn't a toy. The plan bakes in the controls that make a tool trustworthy with sensitive people-data:
- Login so only your team can get in.
- Row-level security so each coach sees only their own coaching relationships - no peeking at other people's private notes.
- A complete audit trail - who logged what, who acknowledged, who closed an action, and exactly when.
- A human-in-the-loop gate - the coachee confirms the agreed action items before they become shared commitments, and closing an action requires the owner to mark it done and the coach to confirm. The AI never silently commits anything.
- Duplicate guards so the same session (same coachee, same date) or the same action can't be logged twice.
