The problem this kills

An auditor email lands, or a big customer sends a quality questionnaire, and suddenly your week is gone. You're digging through shared drives, email threads, and three different systems to prove that the right people completed the right training in the right window. You hunt for the signed checklist, the certificate PDF, the sign-in sheet from that session, the exam result. You build a folder by hand, name everything carefully, write an index in a Word doc, and pray you didn't miss anything — because the one gap you overlook is the one the auditor will find first.

It's stressful, it's manual, and it scales terribly. Every audit, every questionnaire, every "can you send us evidence that…" starts the same scramble from scratch. You don't need to live like this, and you don't need to be a developer to fix it.

What you'll build

A simple internal web tool. You set an audit scope — a date range, one or more departments, and the training or certification types in question. The tool pulls every matching completion and certification record, links each one to its evidence files in storage (certificates, signed checklists, sign-in sheets, exam results), and assembles them into an organized binder with an index. It flags missing evidence loudly — so you see the gaps before the auditor does — and respects your retention rules. Your compliance manager opens the assembled binder, reviews each item, redacts or removes anything out of scope, and clicks Approve. Only then does the tool export the package — a zip of the files plus an index as CSV and PDF — and log exactly what was exported and to whom for your own audit trail.

What's inside the Implementation Plan

It opens by interviewing you about your business — which systems and spreadsheets hold your completion and certification records, exactly how your evidence files are named and stored, how you define a department and a training type, your typical and peak audit sizes, your retention rules, your approval chain, and your messy edge cases — and then it tailors the data model, the scope filters, and every later step to your answers. This is not a generic template; the agent reflects a short spec back to you and waits for your thumbs-up before it builds anything. From there it walks the agent through importing your records, uploading and linking the evidence files, building the scope-driven binder assembler, the missing-evidence flags, the manager review-redact-approve screen, the indexed export, and the immutable export log — each step with a ready-to-copy prompt. There's also a fallback so you can build the whole thing today even with no API to your training system.

The governance it includes (this is the point)

This is real compliance tooling, so it ships with the controls a quality team needs: login so only your team can use it, row-level security so you only ever see your own organization's records, a complete audit trail of who assembled, reviewed, redacted, approved, and exported each binder and when, a hard human-approval gate so no package is exported or shared until your compliance manager signs off, and duplicate guards keyed on the evidence item ID and the binder export ID so the same item can't slip in twice and the same package can't be quietly re-exported without a record. Missing evidence is surfaced as a gap report instead of silently shipping an incomplete binder, and an immutable export log captures exactly what was shared and with which auditor.
