The problem this kills

Your sales@ or info@ inbox is a firehose. Buried between vendor pitches, support questions, and outright junk are real leads — and right now a human reads each message, decides whether it's worth chasing, then copy-pastes the name, company, phone, and "what they want" into the CRM one field at a time. It's slow, it's mind-numbing, and it leaks: good leads sit unread for hours, the same email gets worked twice by two reps, and the data that lands in the CRM is inconsistent because everyone types it a little differently.

The maddening part is that almost everything you need is already sitting in the email — in the body and in the signature block. You just need something that reads the message, pulls the fields into a clean structure, tells you how confident it is, checks whether you already know this company, and then lets a person make the final call before it becomes a real lead. You do not need to be a developer to build that something.

What you'll build

A simple internal web tool for your shared-inbox team. You paste an email (or forward it in), and AI extracts a structured lead: contact name, title, company, phone, email, the actual ask, and how urgent it sounds — parsing the signature block for the details people forget to type. It classifies the message (real sales lead vs. support vs. vendor pitch vs. junk) so noise can be dismissed in one click. Every extracted field is shown side-by-side with the original email, with low-confidence guesses flagged for closer review. The tool matches the lead against your existing accounts and contacts and warns you when the company is already in the system. A reviewer corrects anything the AI got wrong, picks the rep, and approves — only then is the lead committed and routed, and you get a CRM-ready CSV in exactly the columns your CRM imports.

What's inside the Implementation Plan

The downloadable plan is a step-by-step file you paste into an AI coding agent. It opens by interviewing you about your business — how your shared inbox is triaged today, what CRM and fields you use, the exact columns and naming in your accounts and contacts, how leads get routed to reps, your typical and peak email volumes, and the messy edge cases (multiple people on a thread, signature blocks in images, forwarded chains). It reads a short spec back to you for a thumbs-up, then builds the tool around your answers instead of a generic template. From there it walks the agent through the data model, the paste/forward intake, the AI extraction with confidence scoring, the account-matching step, the side-by-side review-and-approve screen, the routing rules, and the CRM-ready export. Every step ends with a ready-to-copy prompt.

The governance it includes (this is the point)

This isn't a toy. The plan builds in the controls a real sales operation needs: login so only your team can use it, row-level security so people only see their own organization's leads, a complete audit trail of every extraction, edit, dismissal, and approval (who, what, when), a hard human-approval gate so no lead is ever created from raw AI output — a person reviews and approves first — and duplicate guards keyed on the sender's email plus the message ID so the same email can't be processed twice. The whole tool exists to make a careful human decision fast; the AI drafts, a person decides.
