The problem this kills

Calibration evidence lives in a graveyard of PDF certificates, a spreadsheet someone updates "when there's time," and the memory of whichever technician handled the gauge last. When an auditor or a customer asks you to prove a measuring instrument was in tolerance on the day it took a critical reading, you go digging - and too often you find a certificate that says "PASS" but no record of the as-found readings, no note of which standard the lab used, and no trail showing anyone reviewed an out-of-tolerance result before the instrument went back into service.

The real danger isn't the missing paperwork. It's the out-of-tolerance as-found reading that nobody flagged. If a gauge was already out of tolerance when it arrived at the lab, every measurement it took since its last calibration is suspect - and that should trigger an impact review, not a quiet "as-left is fine, back to the floor." Without a system that catches this, drift goes unnoticed until a bad part ships or an audit finding lands.

What you'll build

A private web app, just for your team, that turns calibration from scattered files into structured, searchable, audit-ready evidence:

  • Log each calibration event with the instrument, as-found and as-left readings, the tolerance, pass/fail, the calibrating lab, the standard used, and the date.
  • Upload the certificate file and keep it safely in storage, linked to the record.
  • The agent automatically flags any as-found reading that's out of tolerance and holds it for review.
  • The metrology owner reviews and approves each record - and an out-of-tolerance as-found result cannot be released without launching an impact review first.
  • Per-instrument drift trending so you can see which gauges keep creeping toward their limits and tune your calibration intervals.
  • A one-click CSV export of your full calibration history in the exact columns your quality system expects.

What's inside the Implementation Plan

The plan is a complete, paste-and-go runbook. The very first thing it does is interview you about your business - your instruments and how you name them, the systems and spreadsheets you use today, how your tolerances and readings are recorded, your typical and peak calibration volumes, who owns the release decision, and your messy edge cases (multi-point cals, conditional passes, "limited use" releases). It reads a short tailored spec back to you and waits for your thumbs-up, so the tool fits your metrology process - not a generic template.

From there it walks you, one copy-paste prompt at a time, through building the database, the login, the entry and upload screens, the out-of-tolerance flagging logic, the approval gate, the drift trending, and the CSV export - with a no-API fallback so you can build the whole thing today from a spreadsheet, even if you have no integration to your existing system of record.

The governance it includes (this is the point)

Calibration evidence is only worth anything if it's trustworthy, so governance is built in from the start:

  • Login so only your team can use the tool.
  • Row-level security so each organization only ever sees its own calibration data.
  • A complete audit trail - who entered, reviewed, approved, or released each record, and exactly when.
  • A hard human-in-the-loop approval gate - the agent drafts and flags, but nothing is released until the metrology owner reviews and approves. An out-of-tolerance as-found result must launch an impact review before release.
  • Duplicate guards keyed on instrument ID + calibration date, so the same event can't be logged twice.
