Field Sales Mobile Order Pad: Stop Re-Keying Orders Texted From the Field

Give your outside reps a phone-friendly order pad that builds an order at the customer's counter, saves drafts through dead zones, and submits it for the office to review and approve before it hits the ERP.

What you'll build

A phone-friendly web tool where a rep logs in, sees only their own accounts, picks a customer, adds items from your priced catalog, saves drafts offline, and submits an order — then sales-ops reviews and approves it, the tool exports an ERP-ready order CSV, and the rep gets notified.

Before you start

  • A Supabase account (free)
  • A Vercel account (free)
  • A Resend account (free)
  • A customer list (CSV)
  • A product catalog with pricing (CSV)
  • Claude Code or any AI coding agent

The problem this kills

Your outside reps are standing at a customer's counter, and the order leaves the building as a text message, a photo of a handwritten pad, or a voicemail. Back at the office, someone re-keys it hours later — squinting at handwriting, guessing the SKU, looking up the price, and chasing the rep when something doesn't add up. Orders sit. Prices are wrong. The same order gets entered twice, or not at all. Nobody's quite sure which version is real.

It's slow, it's error-prone, and it puts your sales-ops team between the rep and the ERP doing pure data entry under pressure. You don't need to live like this, and you don't need to be a developer to fix it.

What you'll build

A simple, phone-friendly internal web tool. A rep logs in on their phone and sees only their own accounts. They pick a customer, search your priced product catalog, add items and quantities, add a note, and submit — even in a parking lot with one bar of signal, because the draft saves on the device and syncs when the connection comes back. The submitted order lands in a sales-ops review queue, where the office checks it, fixes anything off, and clicks Approve. Only then does the tool generate an ERP-ready order CSV in exactly the columns your system expects, and email the rep that their order went through. No more re-keying, no more guessing, no more "did that order ever go in?"

What's inside the Implementation Plan

The downloadable plan is a step-by-step file you paste into an AI coding agent. It opens by interviewing you about your business — how reps submit orders today, what system the order ends up in, exactly what your customer and catalog columns are named, how your SKUs and pricing work (list price, customer-specific pricing, units of measure), your typical and peak order volumes, who has to approve, and your messy edge cases — and then it tailors the data model, the validations, and every later step to your answers. This is not a generic template; the agent reflects a short spec back to you and waits for your thumbs-up before it builds anything. From there it walks the agent through the rep-only customer list, the catalog and pricing, the mobile order builder with offline draft saving, the sales-ops review-and-approve queue, the ERP CSV export, and the rep notification — each step with a ready-to-copy prompt. There's also a fallback so you can build the whole thing today even with no API to your ERP.

The governance it includes (this is the point)

This is a tool that feeds real orders into your system of record, so it ships with the controls a sales operation needs: login so only your team can use it, row-level security so each rep only ever sees their own accounts and orders, a complete audit trail of who submitted, edited, and approved which order and when, a hard human-approval gate so no order is exported to the ERP until sales-ops signs off, and duplicate guards keyed on rep + customer + submit time so the same order can't slip in twice — even if a rep taps submit on a flaky connection.

Who it's for

Outside sales reps who are tired of their orders getting lost or mangled in translation, and the sales-ops team that's tired of being a human re-keying machine. If you can describe how your reps take an order and how it gets into your ERP today, you can build this.

You've got this — start with the plan, paste the first prompt, answer the interview, and you'll see your reps building real orders on their phones the same weekend.
