The problem this kills

Your brand name and logo are showing up in places you never authorized. A counterfeiter is selling fakes under your trademark. A grey-market seller is running ads with your logo. Someone is making claims your legal team would never sign off on. A "review site" is using your wordmark in a way that confuses customers. Every one of these is a potential trademark problem - and every one of them is buried in a flood of perfectly fine mentions from real fans, legitimate press, and your own authorized partners.

So the real work isn't finding mentions. Your alert tools already spit out hundreds. The work is the triage: reading each one, deciding whether it's harmless or genuine misuse, separating an authorized reseller from an infringer, and - crucially - making sure a human with legal judgment signs off before anyone fires off a cease-and-desist or a takedown request. Get that wrong and you either let infringement slide or you fire a legal threat at a loyal partner. Both are expensive.

Today that triage lives in someone's inbox and a messy spreadsheet. There's no reliable record of which mentions were reviewed, who decided what, and what action was taken - exactly the paper trail your legal team needs if a case ever escalates.

What you'll build

A small private web app for your brand, legal, and marketing-ops team that:

  • Imports a mentions CSV from any alert or search tool (mention text, source URL, date, source/platform).
  • Matches each mention against your registered marks and your authorized-partner list, and flags likely misuse patterns (counterfeit language, unauthorized reseller, wrong logo, false or unapproved claims).
  • Sorts mentions into clear buckets - authorized partner, probably fine, or potential misuse - so reviewers only spend time on what matters.
  • Shows a brand/legal reviewer a review worklist where each flagged mention must be confirmed as genuine misuse and an action approved - contact, escalate, or ignore - before anything happens. Nothing is ever auto-contacted.
  • Tracks each approved case through to resolution and sends Resend alerts and a daily digest of new high-severity flags.
  • Exports a clean case-log CSV in the exact columns your legal team or outside counsel expects.

What's inside the Implementation Plan

The plan is a complete, paste-and-go runbook. It opens by interviewing you about your business - your exact registered marks and how they're written, who your authorized partners are, the misuse patterns you actually worry about, the columns in your alert exports, your severity tiers, and the messy edge cases (fan accounts, parody, news coverage, partners who bend the rules) - so the tool fits how you actually protect your brand, not a generic template. This is not a throwaway spreadsheet. Every build includes:

  • Login so only your team can open the tool.
  • Row-level security so each organization only ever sees its own mentions and cases.
  • A full audit trail - who imported what, who confirmed a mention as misuse, who approved which action, and exactly when.
  • A hard human-in-the-loop approval gate - a flagged mention and the proposed action are drafts until a brand/legal reviewer confirms and approves. The tool flags; a person decides; nothing is ever auto-contacted.
  • Duplicate guards keyed on source URL + mark so the same mention can never be logged or actioned twice.
