The problem this kills

You email the new policy to the whole company. A few people reply "got it." Most don't. Three months later legal asks: "Can you prove every employee acknowledged the updated code of conduct?" - and you're scrolling through your sent folder, guessing.

"Everyone acknowledged the new policy" should be a fact you can prove, not a hope. The trouble is that email gives you no record: no timestamp, no link to the exact version they saw, no way to tell who's still outstanding, and no clean report when an auditor comes knocking. New hires who joined after the blast slip through entirely. And when you revise the policy, you have no way to re-collect sign-offs against the new version.

What you'll build

A small, login-protected web app that runs the whole acknowledgment campaign for you:

  • HR uploads the policy document and it's stored as a specific, locked version.
  • HR picks the target audience - the whole roster, or filtered by department or location.
  • HR reviews and approves the campaign before a single email goes out.
  • Each employee gets a personal link, reads the policy, and clicks to acknowledge - captured with their name, the exact version, and a precise timestamp.
  • A live dashboard shows completion against the deadline, and reminders go out automatically to whoever hasn't responded.
  • HR certifies the campaign complete, and you export an audit-ready CSV: who acknowledged, which version, and exactly when.

What's inside the Implementation Plan

  • Login so only your HR/compliance team can run campaigns.
  • Row-level security so you only ever see your own organization's data.
  • A complete audit trail - who launched, who approved, who certified, and every acknowledgment timestamp.
  • A human approval gate - HR reviews the audience, document version, wording, and deadline and approves before anything is sent, and a human certifies completion at the end.
  • Duplicate guards - one acknowledgment per employee per policy version, and once acknowledged the record is locked and can't be altered.
