Continuous 1:1 & Feedback Log

What you'll build

A private logbook where every 1:1 note, action item, and piece of feedback lives in one place, and an AI-drafted year-in-review summary you review and approve before any formal review.

Before you start

  • A free Supabase account
  • A free Vercel account
  • A free Resend account (for reminders and summary emails)
  • Your manager-employee roster (a list is fine to start)

The problem this kills

Performance reviews get written the night before they are due, from memory. That memory is mostly the last three weeks - the recency bias that makes good reviews unfair and weak reviews vague. The feedback you meant to give in March is gone. The action item you agreed on in your last 1:1 never got carried forward. The praise you felt but never wrote down evaporates.

Meanwhile your real notes are scattered: a notebook, a Slack DM to yourself, three different docs, the back of a meeting invite. When review season hits, you cannot reconstruct the year, so you guess.

This tool fixes the root cause: it gives you one private place to log every 1:1 and every piece of feedback as it happens, carries unfinished action items forward, and - when the cycle ends - drafts a summary from the actual log so your review is built on evidence, not the last thing you remember.

What you'll build

A small, private web app for managers:

  • A roster of the people you manage.
  • A 1:1 / feedback log with a simple template per entry: topic, notes, action items, and feedback type (praise or constructive).
  • Action items that carry forward - open items from your last meeting show up at the top of the next one until they are marked done.
  • A private/shared switch on every note, so your candid manager notes stay private until you decide to surface them.
  • A one-click draft year-in-review summary for any period, written by AI from the log - which you then review, edit, and approve before it counts.
  • A CSV export of all notes and action items, in clean columns.

What's inside the Implementation Plan

  • A guided, copy-paste build you run by pasting the plan into an AI coding agent - no prior coding needed.
  • It opens by interviewing you about your business - your team, your review cycle, your feedback categories, how you name and track action items, your quiet edge cases - and tailors the data model and every later step to your answers instead of dropping a generic template on you.
  • Step-by-step build prompts you paste one at a time, each producing a working piece of the tool.
  • The human-in-the-loop summary draft: the AI assembles the year from your log, but a manager reviews and approves before it is saved for the cycle.
  • A "No API yet?" fallback so you can start today by importing notes from a Google Sheet and exporting a clean CSV - no integration with your HR system required.

The governance it includes (this is the point)

  • Login so only your team can open the tool.
  • Row-level security so a manager only ever sees their own employees' notes - never another manager's.
  • Private-by-default candid notes, surfaced only when you choose.
  • A complete audit trail: who logged, edited, or approved what, and when.
  • A human approval gate before any AI-drafted summary is used in a formal review - the AI drafts, you decide.
  • Duplicate guards so the same meeting (employee + date) can't be logged twice by accident.

Who it's for

Managers who want better, fairer reviews built from real notes instead of recency bias - and HR leads who want their managers writing reviews from evidence, with feedback that arrives in time to matter.

You've got this - paste the first prompt and let the agent interview you about your team.
