The problem this kills

Right now your background and reference checks live in your inbox. You email the screening vendor, you wait, you forget which candidate is still pending, and you find out a check isn't back the morning someone is supposed to start. Worse, when a check comes back flagged, there's no consistent path: who reviews it, did the candidate get the required notice, was the decision documented, who actually signed off? Different recruiters handle it different ways, and consent forms are scattered.

That mix of "where is this check?" and "what do we do with a flagged result?" is exactly where compliance risk and bad hires both hide. You don't need a six-figure HR platform to fix it, and you don't need to be a developer. You need one small, private tool that knows every check's status, won't let a check start without recorded consent, and forces a documented review before anyone is cleared or rejected.

What you'll build

A simple, login-protected web app for your HR/recruiting team. You add a candidate, pick which checks they need, and the tool records consent before any check is marked started. Each check moves through requested → in progress → complete, and you log the result. Clean results clear the candidate automatically. A flagged result opens an adverse-action workflow: the result is reviewed, the required pre-adverse and adverse-action steps are tracked, and a person records an explicit final decision before the hire is finalized. Everything is timestamped and attributed, and you can export a clean status CSV any time.

What's inside the Implementation Plan

The plan opens by interviewing you about your actual hiring process — your check types, who runs them, how you name candidates and requisitions, your real volumes, and your messy edge cases (rescreens, contingent offers, international candidates). It reads back a short tailored spec for your thumbs-up, then builds the data model, statuses, and approval rules around your answers — not a generic template. From there it walks you, copy-paste prompt by copy-paste prompt, through building the database, the login, the candidate and check screens, the consent capture, the adverse-action gate, the email notifications, and the CSV export.

The governance it includes (this is the point)

  • Login so only your team can open the tool.
  • Row-level security so people only ever see their own organization's candidates and results.
  • A complete audit trail — who recorded consent, who reviewed a result, who made the final decision, and exactly when.
  • A human-in-the-loop gate — the tool never auto-clears or auto-rejects a flagged candidate. A person reviews and explicitly decides, with the required adverse-action steps recorded first.
  • Duplicate guards — one record per candidate + check type, so the same check can't be opened or processed twice.
